Covering the Gloucestershire area in brief responsibilities will include:- Supervision and leadership of the Lettings Managers and their team. To build and maintain a positive culture within the patch.- Responsibility for achieving the annual ‘Business Plan’ for each branch and when requested review/update the branch business plans. Meet with the Branch Managers on at least a monthly basis to review progress. Hold a monthly team meeting. – To actively visit all branches on a regular basis to task measure coach and motivate the teams to drive the performance in the branches.- Control the branch costs within the ‘business plan’.- To drive ‘quality of agency’ ‘quality of service’ and ‘best practice’ at all times.- To identify areas for growth and carry out market research to ascertain feasibility of opening branches.- To continually monitor and be fully aware of the local market conditions for each branch within the Area.- To assist the Divisional Managing Director in the opening of new branches recruitment of staff and setting up the branch systems.- Personally coach the Branch Managers within the team in line with Company standards and practices.- To assist Branch Managers in the development of Assistant Lettings Managers and senior staff through training and coaching and to ensure that succession planning is in place for Branch Managers from within the Area.- To record and monitor the performance of individual ‘lettings’ staff.- To carry out performance and development appraisals on Branch Managers.- Ensure that Branch Managers are appropriately trained to carry out performance and development appraisals of their staff.- Specifically to maintain a regular programme of accompanying valuations to observe coach and appraise where necessary demonstrating the skills and techniques required for all ‘lettings’ staff.- When requested to assist in the running of training courses and ensure that local training courses are set up when required.- To maintain standards within the area and to liaise with the Divisional Managing Director and Human Resources Advisor where further action may need to be taken regarding poor attendance poor attitude sickness under performance or staff personal issues.- Ensure that within each branch the pre-set operating practices ‘best practice/ are utilised and maintained at all times.- To ensure that all staff property transactions are carried out in accordance with company policy. – To oversee the resolution of complaints where a Branch Manager cannot resolve it. To refer complaints to the Customer Services Manager where appropriate. Ensure ‘recovery’ and lessons learnt.- To have particular care that the ‘resources’ made available by the Company are fully utilised within ‘best practice’ e.g. press advertising circulation boards window displays etc.- To ensure staff comply with all statutory regulations in force in relation to the letting of residential property. E.g. gas safety electrical safety and furnishing compliance and Best practice- To ensure that all Branch Managers have the Company’s cash handling process in place within the branches and are adhering to it.- To ensure the branches remain open and are appropriately staffed as per the Company’s standard opening hours- Authorise and monitor holiday leave absence due to sickness etc. and specify plans to stand in for Branch Managers during their absence.- Ensure that staff maintain their company cars in line with the Company’s Drivers Rules through conducting quarterly inspections- Authorise petrol claims and keep the Company Car Fleet Manager appraised of any issues particularly those relating to exposure to driver risk i.e. bad driving irresponsible and thoughtless use of the car drink driving etc.- The Area Manager will keep the Divisional Managing Director appraised of any issues regarding Branch Premises as well as liaising with the ‘group’ Premises Manager and enforcing HASAW policy. The Area Manager also has a role in ensuring routine upkeep and maintenance is carried out on the authority of the Premises Manager. Specifically have responsibility to monitor cleanliness presentation window and wall displays lighting and fascias.- Responsibility for the use of the IT systems e-mails and web site within each branch. To monitor standard practices and systems. To become a local system ‘champion’.- At all times to protect the Company from fraud malpractice dishonesty or any behavior by staff that would bring the Company into disrepute.- To keep personal letting agency skills sales skills sharp and constantly updated and where necessary to personally contribute to branch performance through valuations measures sales etc.- To attend Board operational monthly meetingsReporting to the Divisional Managing Director the Area Manager’s principle objective is to lead each branch team to maximise profits by increasing results and exceeding targets on an annual and longer term basis. This will be achieved through driving each branch team through the Branch Manager to be the leading lettings agent in the catchment area based on performance customer service reputation and integrity.
