PA / Executive Assistant to Director

Our client is a well-established family run 6 office independent in Middlesex/Herts. Due to growth they now seek an experienced well-presented and polished PA/Executive Assistant.
ROLE:
The PA / Executive Assistant will support the Head partner and assist with day to day work to ensure the business is running as smooth as possible. You will assist with five key priorities: support using PA skills, from time to time provide second level back-up cover and support to the other Directors, improve our clients satisfaction and communication, enable a proactive role within their business planning process, and improve operating efficiency in order to provide effective service delivery.
RESPONSIBILITIES:
a) Provide second level back-up cover and support to the other Directors directorate. Manage and monitor incoming email and correspondence.
b) Answer and assist telephone calls (internal & external)
c) Provide full secretarial and administration support, including development of documents, spreadsheets and PowerPoint presentations with a strong working knowledge of Microsoft Office applications.
f) Arrange internal and external meetings using the online venue booking system and external function rooms where required. Minute taking and proactive preparation of agendas / papers for meetings.
ESSENTIAL SKILLS / EXPERIENCE:
Extensive PA experience with strong secretarial skills working at Senior Management / Director level.
– Educated to at least A-Level or equivalent.
– Extremely well organised and proficient in diary management.
– Excellent interpersonal skills. Strong IT skills, including advanced Word, Excel,
– PowerPoint and Access; Intermediate MS Project, Outlook and Internet Explorer.
– Accurate typist; numerate, experience of financial processes, invoices, PO’s,
– statements, etc.
– Experience of minute taking and preparation of papers for meetings, etc.
– Efficiently coordinate and prioritise workload.
